Students set a preference window — days, hours, transmission, and the instructor they already learn with, so offers only ever cover that instructor's slots. When one opens, Passdesk offers it to three learners at once and the first to tap gets it.

Preference windows — date range, weekdays, hour-of-day, transmission, and pinned to their own instructor. If a colleague ever has to cover, the progress record shows where the last lesson finished.

FAQ for school owners

How many instructors can I have on one workspace?

Pro covers you and 3 instructors with 150 active learners; Team raises that to you and 10 instructors with 500, and adds custom branding, instructor regions, franchise fees and webhooks; Scale takes you to 25 instructors (you + 24) with unlimited learners, and adds priority support and API access. On Pro and Team you can add instructors one at a time for £10 a month each, and each seat adds 40 learners: up to 8 instructors on Pro and 20 on Team. Office staff are free on every plan, since only people who teach take a seat. Above 25, Scale still covers the first 25 and extra instructors are added at a per-instructor rate we quote for you (Network pricing). Learners who have passed never count towards the cap. Every instructor signs in with their own login and only sees the students they teach (unless you grant wider permissions).

Can I bring my existing students and packages over?

Yes — paste your existing webpage URL and Passdesk extracts your products. Five free imports per school, then £5 per ten-pack top-up; manual entry is always free. Students and progress are imported via spreadsheet upload, or via the API (Scale).

Can each instructor see their own earnings?

Yes — each instructor has their own page showing their bookings, hours, and earnings (against the rate the school sets). Payouts run from the school’s connected Stripe balance.

Can I brand the student portal to my school?

Yes, on Team and Scale. Set your colour and logo, and your booking page and student screens use them.

Do you handle motorcycle training?

Yes, on every school plan, for schools in England, Scotland and Wales. Run CBT days with the DVSA ratios worked out for you, let riders book and pay online, sign off elements A to E on the day and record the DL196. DAS and A2 riding lessons go in the same diary as your car lessons.

Can I ask Claude or ChatGPT about my diary?

Yes, on every school plan. Connect Claude or ChatGPT to Passdesk and ask about your lessons, your learners and who owes what in plain English. It can read your records but can’t change them. On Scale you can also let it book and cancel lessons. Setting it up takes a few minutes, and the guide is at passdesk.co.uk/docs/mcp.

What happens if my Wi-Fi or 4G drops mid-lesson?

The in-car app captures odometer, time, location, and quick reactions even when offline. Everything queues on the phone and syncs when you reconnect.
